Job Title: Membership Coordinator – Wales Office
Department: Professional Standards
Responsible to: Wales Office Manager
Location: Cardiff Office (hybrid – 2 days in office: Wednesdays and Thursdays, 3 days remote)
Length of Contract: 3 months (ending 1 December 2025, with possibility of extension)
Start Date: Expected to be 25 September 2025
Interview Date: 15 September 2025
Pay Rate: £14.98 per hour
Hours of Work: 35 hours per week

Overview

We are working with a Royal College who are looking for a temporary Administration Coordinator for their Welsh office. This role is central to ensuring the Wales office of a leading Royal College maintains strong connections with its members, delivers successful events, and communicates effectively across multiple platforms.

You will be the main point of contact for members in Wales, producing clear and professional communications, supporting committees, and helping deliver conferences, CPD activities, and engagement programmes. A significant part of your role will also involve writing reports, keeping website and social media content accurate and up to date, and ensuring events run smoothly from planning through to evaluation.

Key Responsibilities
  • Membership Communication
  • Act as a professional first point of contact for enquiries from members, healthcare partners, and the public.
  • Draft, edit, and circulate member communications, including newsletters, event notices, and committee updates.
  • Coordinate and distribute electronic mailings to members in Wales, ensuring accuracy and timeliness.
  • Event Organisation - Support the organisation and delivery of conferences, CPD events, and training sessions.
  • Liaise with venues, speakers, and suppliers, managing all logistics from booking to delegate registration.
  • Provide on-the-day support for events, including IT setup, registrations, and troubleshooting.
  • Evaluate events and provide summary reports to support future planning.
  • Report Writing & Committee Support
  • Prepare agendas, minutes, and action logs for Executive Committee and Faculty/Group meetings.
  • Produce clear, well-structured reports and summaries for committees and senior staff.
  • Track and follow up on agreed actions, maintaining accurate records and archives.
  • Website & Digital Support - Maintain and regularly update the Wales pages of the College’s website, ensuring information is accurate and engaging.
  • Draft and upload social media content in liaison with the Manager.
  • Provide technical support for online and hybrid meetings, including videoconferencing and presentations.
  • General & Office Support - Oversee administration of Health Board job description approvals and annual prizes.
  • Manage petty cash and support general office facilities.
  • Provide cover for the Wales Office Manager during absences.
  • Contribute to a collaborative and supportive team environment, upholding the College’s values.
  • Proven experience in administration with strong skills in communication, event organisation, and report writing.
  • Confident in managing multiple priorities and working to deadlines.
  • Strong writing skills, with the ability to produce clear and accurate reports, minutes, and member communications.
  • Competent in Microsoft Office and experienced in maintaining websites and social media content.
  • Professional, proactive, and adaptable, with excellent interpersonal skills.
