Job Description

Job Title: Administrator

Location: Assynt House, Inverness (100% remote available after first week on-site – accommodation provided)

Pay Rate: £30,353 per year

Contract: Full-time, temporary

Working Hours: Monday–Friday, 9:00am–5:00pm with occasional evening meetings (typically 5:00–6:00pm)

 

We are looking for a proactive and highly organised Administrator to provide dedicated support to our clients team. This pivotal role sits at the heart of our governance function, supporting high-level communication, planning, and operations.

 

Key Responsibilities:

Provide a full PA function to the Chair, including diary management, travel coordination, and inbox handling

Manage all incoming correspondence for the Chair and Board shared mailboxes, ensuring appropriate triage and prioritisation

Draft and prepare formal letters, responses, and internal communications

Maintain and improve filing systems and document management using Microsoft 365 tools

Act as a primary point of contact for the Chair’s Office and Non-Executive Directors, offering responsive and professional support

Organise and support governance meetings: agenda preparation, minute-taking, and follow-up

Contribute to the delivery of good governance in line with the NHS Scotland Blueprint for Good Governance

Maintain the Register of Interests and Gifts & Hospitality Register

Build strong relationships with staff across NHS Highland and partner organisations

Assist with general administrative duties to support the wider Governance team

 

Qualifications & Training:

HND in Business Administration or equivalent relevant experience – desirable

A minimum of five years’ administrative or secretarial experience supporting senior leadership

Demonstrable competence working at executive/senior level

Advanced Microsoft Office 365 skills (Outlook, Word, Excel, Teams, SharePoint)

Strong minute-taking and document drafting capabilities

Ability to research and handle sensitive or confidential information appropriately

 

Knowledge & Skills:

Experience of inter-agency working, ideally in an NHS Scotland or Health & Social Care setting

Ability to work under pressure and manage competing priorities

Comfortable working independently and using sound judgment

Excellent time management, organisation, and attention to detail

Strong written and verbal communication skills

A team player who brings initiative, discretion, and professionalism to every task

Analytical problem-solver with a proactive attitude
